Bookkeeper / Administrative Support

We are seeking a meticulous and experienced Bookkeeper to manage the financial records for our dynamic operations, encompassing both new home construction projects and our heavy equipment fleet. The ideal candidate will possess a strong understanding of full-cycle bookkeeping principles, coupled with specialized knowledge of accounting practices unique to the construction industry and the maintenance of heavy machinery. This role is critical to maintaining accurate financial data, supporting project profitability, and ensuring compliance.


Key Responsibilities

As our Bookkeeper, you will be responsible for:

  • Full-Cycle Bookkeeping: Managing accounts payable, accounts receivable, general ledger entries, and bank reconciliations for all company operations.
  • New Home Construction Accounting:
    • Tracking and allocating costs for multiple residential construction projects, including direct and indirect expenses.
    • Processing and tracking progress invoices. 
    • Monitoring project budgets against actual expenditures and providing variance reports.
  • Heavy Equipment Accounting:
    • Understanding each piece of equipment and its normal operation.
    • Maintaining files for each piece of heavy equipment (e.g., excavators, loaders, trucks).
    • Invoicing customers based on aggregate weigh slips
  • Payroll Administration: Processing bi-weekly payroll for all employees, including deductions, remittances (CPP, EI, income tax), and year-end T4 preparation.
  • Financial Reporting: Preparing various financial reports, including profit and loss statements, balance sheets, and cash flow reports, for owner review.
  • Government Remittances: Preparing and submitting WSIB, HST, and other statutory remittances accurately and on time.
  • Audit Preparation: Assisting with year-end close procedures and preparing necessary documentation for external auditors.
  • Document Management: Organizing and maintaining financial records, both physical and digital, in a systematic and secure manner.
  • Software Utilization: Effectively utilizing accounting software SAGE and potentially construction software to streamline processes.

Qualifications

  • Education: Post-secondary education in Accounting, Bookkeeping, or a related field.
  • Experience:
    • Minimum of 5 years of proven full-cycle bookkeeping experience.
    • Experience in new home construction, or
    • Experience with accounting for heavy equipment operations.
  • Technical Skills: Strong understanding of Canadian accounting principles (ASPE), payroll regulations, and tax compliance (HST, WSIB).
  • Attention to Detail: Exceptional accuracy and an analytical mindset for identifying discrepancies and ensuring financial integrity.
  • Organizational Skills: Excellent time management and organizational skills to handle multiple tasks and meet deadlines.
  • Communication: Strong written and verbal communication skills to interact effectively with colleagues, vendors, and clients.
