B.M.R. Mfg. Inc. is seeking a highly organized, dependable and computer-proficient individual to join our team as an Inside Sales / Sales Administrator for a temporary 12–20 month maternity leave contract.

This is primarily an inside sales, customer service, sales order-entry and administrative position. The successful candidate will work closely with our Sales Manager, Owner/Operator, customers and production staff.

A significant portion of the position involves receiving customer inquiries, entering and processing sales orders, preparing quotations, maintaining customer information, communicating with customers, and ensuring orders and administrative tasks are followed through accurately and on time.

The position interacts with a wide variety of customers, including Ontario Parks, Ontario Federation of Snowmobile Clubs (OFSC), Ontario Federation of All Terrain Vehicle Clubs (OFATV), municipalities, businesses, organizations and walk-in customers.

The successful candidate will also be responsible for answering incoming telephone calls and directing customers and other callers to the appropriate team member. Some traditional reception and general office duties are therefore part of the position; however, sales administration, customer service and order processing are the primary focus of the role.

Because we are a small manufacturing business, flexibility is important. Priorities can change throughout the day, and the successful applicant must be comfortable moving between customer service, sales order entry, administrative work and other office responsibilities as required.

Key Responsibilities

Responsibilities will include, but are not limited to:

· Receive and process customer orders accurately and efficiently.

· Enter sales orders, customer information, pricing, quantities and related information into company systems.

· Prepare quotations for assigned customers and product groups.

· Assist customers with product, pricing, availability and order-related inquiries.

· Provide sales and order-entry support for Ontario Parks, OFSC, OFATV and other assigned customer accounts.

· Assist walk-in customers with product inquiries, purchases and order placement.

· Monitor incoming sales and general email accounts and ensure inquiries are answered, forwarded or followed up appropriately.

· Communicate with customers by telephone and email regarding quotations, orders, product information and order status.

· Maintain accurate customer records, order information and electronic files.

· Coordinate with Sales, Production, Graphics, Shipping and Management to ensure customer requirements are communicated correctly.

· Follow outstanding tasks, quotations and customer requests through to completion.

· Perform accurate and timely data entry.

· Answer all incoming telephone calls in a professional manner and direct calls to the appropriate team member or voicemail.

· Take and communicate accurate telephone messages when required.

· Greet and assist visitors and walk-in customers.

· Assist with general office administration and documentation.

· Use Microsoft Excel for spreadsheets, customer information, pricing and other business applications.

· Use Microsoft Outlook extensively for customer and internal communication.

· Assist with Microsoft Word and PowerPoint documents when required.

· Perform other sales, customer service, reception and administrative duties as business requirements change.

Required Qualifications

Applicants must possess:

· Strong working knowledge of Microsoft Office, with particular emphasis on:

o Microsoft Excel – required

o Microsoft Outlook – required

o Microsoft Word – recommended

o Microsoft PowerPoint – recommended

· Strong general computer skills and the ability to quickly learn new software and internal systems.

· Excellent organizational and time-management skills.

· Strong attention to detail and accuracy, particularly when entering orders, quantities, pricing and customer information.

· Ability to prioritize multiple tasks and complete work within required timelines.

· Ability to follow tasks through to completion without requiring continual direction or follow-up.

· Strong written and verbal English communication skills.

· Professional and courteous telephone and customer-service skills.

· Ability to work independently while also functioning effectively as part of a small team.

· Ability and willingness to adapt to changing priorities and job duties.

· Completion of secondary school or equivalent.

· Reliable transportation to our Campbellford facility.

Computer proficiency is important to this position. Applicants may be asked to complete a practical Microsoft Office skills assessment as part of the interview process, particularly involving Excel and/or Outlook.

Preferred Qualifications

Preference may be given to applicants who have one or more of the following:

· Previous experience in inside sales, sales administration, sales order entry, customer service or office administration.

· Previous experience working in a manufacturing, distribution or similar business environment.

· Working knowledge of QuickBooks.

· Advanced computer skills and demonstrated comfort learning and working with multiple computer programs.

· Strong or advanced Microsoft Excel skills.

· Experience preparing quotations, processing customer orders or maintaining customer accounts.

· Bilingual ability in either:

o French and English, or

o Spanish and English.

Bilingualism is considered a valuable asset for this position but is not a requirement for employment.

· Is comfortable speaking with customers by telephone, email and in person.

· Communicates professionally with customers, suppliers, coworkers and management.

· Understands that working in a small business sometimes requires helping with duties outside of a narrowly defined job description.

· Is dependable, punctual and able to work consistently throughout the contract period.
