SUMMARY
The Circle and Tribunal Coordinator position works directly with the Director of Circle and Tribunal Administration and Clerk(s). They also work closely with internal and external resources and stakeholders to Nigig who may be involved in the decision-making mechanisms offered under Nigig Nibi Ki-win (family circles, healing circles, and tribunals).
The Circle and Tribunal Coordinator’s role will be to organize all aspects of Circle and Tribunal gatherings, including location/facility details, scheduling all participants and ensuring all relevant documents are provided as required and with support of the Clerk. The Coordinator will be required to liaise with both internal staff, and external service providers and agencies as may be necessary in the planning of tribunals and circles. The Coordinator will also be responsible for preparing, providing and/or distributing documentation or correspondence leading up to, or during, circles and/or a tribunal, as well as the delivery of accurate and timely correspondence to legal as may be required.
The Coordinator will report to the Director with respect to the administration of circles and tribunals, and support in the review of policy and protocol development within the context of decision-making process. The position acts a point of contact for Circle facilitators and Tribunal members, facilitating the organization of training and/or answering immediate questions. This position supports the Director in outreach activities.
The Coordinator supports compliance with all legal requirements as necessary under the law and its regulations and as per protocol, and includes the communication of decisions to the service teams working directly with involved families.
This position will function within legislative requirements, regulations, policies and procedures, and the vision, mission and values of Nigig Gamik, and the Algonquins of Pikwakanagan First Nation.
The Coordinator will work with the role of Circle and Tribunal Clerk, providing direction and guidance.
This is a full-time position with a hybrid working model. The hybrid model supports the requirement to work on-site as may needed in the planning of tribunals/circles, connection to teams, and supervision of staff. The role requires the employee to operate under tight deadlines with competing priorities, while maintaining a high degree of attention to details and quality of service.
DUTIES AND RESPONSIBILITIES
- General
- Follow the Seven Grandfather teachings as they relate to Nigig and its vision, mission and values.
- Be exceptionally familiar with the child and family well-being law of Pikwakanagan, Nigig Nibi Ki-win, acting in accordance with this in all activities.
- Coordinate all parties involved in either tribunals and/or circles as required.
- With the support of the Circle and Tribunal Clerk, will assist in the successful facilitation of each function, as may be required.
- Attend and participate in Algonquin Anishinaabe cultural training and/or activities provided by Nigig and/or AoPFN as able in the administration of their role.
- Engage in learning and incorporating Anishinaabemowin language within the position.
- Oversee the planning, coordination, and facilitation of decision-making processes, including communicating family-led decisions to relevant parties.
- Ensures circle and tribunal regulations are applied consistently to support the prioritization of voice, safety, dignity, and well-being of children, youth, and families involved.
- Development & Quality Assurance
- Support Circle coordinators, facilitators, Tribunal members and Elder and/or other cultural supports involved in decision making functions.
- Support the integration of traditional knowledge, ceremony, cultural teachings, language and Elder guidance within Circle and Tribunal processes where appropriate.
- Ensure all participants receive timely communication, preparation supports, and culturally safe participation opportunities.
- Coordinate and oversee intake of circle an tribunal requests, scheduling, documentation, and procedural fairness requirements.
- Implements and utilizes tools and protocols designed for this area.
- Community Support
- Assist the Director in connecting with Anishinaabe Elders, Knowledge Keepers and other Eji tibenindàgwazidjig Anishinàbeg Pikwàkanagàning, as well as other First Nations to support the function of active Circle and Tribunals roles.
- Communicate with Eji tibenindàgwazidjig Anishinàbeg Pikwàkanagàning, sharing and promoting accurate information on the purpose and process of tribunals and circles, as outlined in the law.
- Foster respectful and collaborative relationships with children, youth, families, caregivers, Elders, Knowledge Keepers, legal representatives, and community partners.
- Support families in understanding Circle and Tribunal processes, rights, responsibilities, and available supports using accessible and culturally responsive communication approaches.
- Address conflict, barriers to participation, and relational challenges using trauma-informed, restorative, and solution-focused approaches.
- Promote community trust and confidence in Circle and Tribunal processes through transparency, fairness, consistency, and relational integrity.
- Relational Practice
- Ensure all practices align with the Seven Grandfather Teachings, relational accountability principles, and the values embedded within Nigig Nibi Ki-win law.
- Promote approaches that emphasize healing, restoration, prevention, family preservation, and community connection whenever possible.
- Support culturally safe environments that recognize the impacts of intergenerational trauma, colonization, and systemic barriers affecting Indigenous children and families.
- Collaborate with Elders, traditional knowledge holders, and cultural advisors to strengthen culturally grounded dispute resolution and decision-making practices.
- Administration
- Supports the recruitment and maintenance of a list of qualified circle facilitators and a roster of tribunal members.
- Ensures circle and tribunal operations comply with Nigig Nibi Ki-win, Family and Healing Circles regulation, Grandparents Tribunal regulation, internal policies, privacy obligations, and procedural standards.
- Supports training initiatives and capacity-building activities related to tribunal procedures, circle facilitation, cultural safety, and relational practice.
- Leadership and Advocacy
- Represents the organization in meetings, working groups, and community forums related to decision making and dispute resolution processes under Nigig Nibi-Ki-win.
- Supports outreach and education for Eji tibenindàgwazidjig Anishinàbeg Pikwàkanagàning, external resources, and the public with respect to the decision-making process under Nigig Nibi-ki-win.
- In collaboration with the Director, puts forward recommendations with respect to processes and policy as it may coincide with tribunal/circle practices.
- Mediation and Conflict Resolution
- Promotes the inclusion of traditional conflict resolution methods and cultural protocols to promote harmony and reconciliation during the facilitation of tribunals/circles.
- Participates in the identification and response to operational, procedural, cultural, and relational risks within Circle and Tribunal processes.
- Other
- Performs other duties as may be required and related to the parameters of service areas.
WORKING CONDITIONS
Work is performed for Nigig on a full-time basis, although hours may vary from week to week to accommodate the facilitation of circles and tribunals as may be necessary. Work involves contact with clients, families, and community membership. Work involves handling and dealing with issues of a very sensitive and confidential nature. Work involves travel and working a flexible schedule including evenings and weekends. Work may involve standing, sitting and/or driving for long periods of time.
EMPLOYMENT REQUIREMENTS
- Basic Requirements:
- Be a recognized member of Pikwakanagan/Algonquin community
- At minimum has an understanding of Nigig Nibi ki-win and both Circle and Tribunal regulations as available on our website
- Possess a demonstrated understanding of the social work field, particularly with respect to child well-being
- Diplomas or certifications specific to the social services or human services fields of work would be an asset
- Have 2-3 years of experience in event planning or related
- Demonstrated experience working with people and groups under a trauma-informed lens
- Have an understanding of the current challenges faced by Eji tibenindàgwazidjig Anishinàbeg Pikwàkanagàning
- Being certified in First Aid and CPR is preferred, willingness to obtain is required
- Provide a clear Police Record Check including a Vulnerable Sector Screening
- Possesses a class “G” driver’s licence; clear driver’s abstract and access to a dependable vehicle
- Experience working with First Nations, Inuit, and Métis (FNIM) people in a community-based setting would be considered an asset.
